How do I access a Workspace or Committee?

To access a workspace, in the navigation bar, find the 'Workspaces' tab, click on it. This will bring you to a list, or a page, with all of the workspaces that you have access to, and you'll either see the name of the workspace you're looking for, or it could be in another category, in which case, you would just hit the arrow, which would drop down a menu of, other workspaces, and once you find your workspace, you click on it, and you've accessed it. To access a committee, locate the 'Committee' tab and follow the steps above.

How do I Add or Remove a Workspace or Committee to my Member Portal Dashboard?

When would I use this? Use this when you need to add or Remove a Workspace or Committee to my Member Portal Dashboard. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

Once you're in the workspace, in the left menu, you see 'dashboard bookmark'. Click on that. That'll bring a dropdown where it asks you to add bookmark. Click on the add bookmark button. And now it is bookmarked. If you want to remove it, you do the same thing. Click on 'dashboard bookmark' in the dropdown. It'll now say remove bookmark.  Click on it, and it'll now be removed from your dashboard.

How do I turn on or adjust the frequency of my notifications from my Workspace or Committee?

Go into your workspace or committee. In the left menu, you'll see workspace/committee notifications. Click on it. It'll bring a drop-down. It'll tell you what your frequency is, and a pop-up menu will occur, and you can decide whether you want a notification any time something changes in the workspace, a daily summary, a weekly summary, a monthly summary, or never receive notifications from that workspace. Make sure you hit 'update notification' to save the changes.

To access a workspace or committee directory, from your workspace, in the left menu, click on workspace/committee directory, and this will bring you to the directory within the workspace/committee.

Go to your workspace or committee. In the left menu, click on Files. This will bring you to a page with all the files in your workspace that you have access to.

How do I download a file from the workspace or Committee?

From within the workspace/committee, in the menu on the left, click on Files, or File Library. That'll bring you to a page with all of the files within the workspace. Click on the name of the file you'd like to download, and it will automatically download for you. Files cannot currently be downloaded from a workspace in bulk; select each one individually.

How do I upload a file to a Workspace or Committee?

From within the workspace or committee, once you're inside, you'll see an Upload File button. Just click on that, and then choose your file. Alternatively, you can click on Files in the menu on the left, and then you'll see the Upload File button there as well.

How do I access my Workspace or Committee discussion forum?

From within the workspace or committee in the left menu, click on Discussion Forum, and this will bring you to a page of all of the discussion forums within the workspace. Find a particular forum, look through the list of forums, and click on the name of the forum you wish to read or contribute to. That'll bring you to the forum itself. You can read the existing posts or leave a comment at the end by typing in your comment and hitting reply.

How do I register for an event in the Member Portal?

When would I use this? Use this when you want to register for an event through your organization’s Member Portal.

  1. Sign in and open Events → Event Calendar. Switch between calendar and list views if helpful.
  2. Select the event, open its registration page, and click Register Now.
  3. Choose an eligible ticket, complete any attendee details or forms, and finish checkout.

If the event or ticket is missing, ask your organization to check the event dates, portal visibility, and ticket eligibility.

How do I modify an event registration?

When would I use this? Use this when you need to change a ticket or complete an event form added after you registered.

Before you begin: Modification must still be allowed for the event; there is no separate direct link to a form added after registration.

Steps in Member365:

  1. Sign in to the Member Portal and open Events → My Event Registrations.
  2. Find the event and choose Withdraw/Modify.
  3. Open the existing ticket and select Select Ticket Options to complete the newly attached form or change eligible options.
  4. Continue through the registration review and confirm any revised invoice or payment.

Expected result: Your existing registration is updated with the new answers or ticket choices.

Test before going live: If the organizer added a form late, test this path with a registered contact and confirm the answers appear in the event-form report.

What happens next? If no modification button appears, contact the event organizer; they may have closed the modification period.

How do I see what events I've attended in the past?

In the navigation bar, click on the 'events' tab and click on my event registrations in the drop down. You'll see three subtabs, labeled upcoming, history, and withdrawn. Click on the history tab that will show a history of all the events that you've attended, and withdrawn will show you all of the events from which you have withdrawn in the past.

How do I access a directory in the member portal?

When would I use this? Use this when you need to access a directory in the member portal. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

The general directory can be accessed through the navigation bar by clicking on 'directory'. If there are multiple directories, you'll be able to select which directory you want to see. If you don't see 'directory' in the navigation bar, you do not have permission to view the directory. If you think you should have permission, reach out to your association administrators.

How do I post a job or manage a job posting?

In the navigation bar, look for jobs, click on the jobs tab, and in the drop down menu, click on post and manage jobs. Any of your existing job postings will be listed, just click on their name and then you can edit them as necessary. If you don't have a job posting or you want to post a new job, click on the 'post job' button right at the top of the page. This is will bring you to a blank job board listing template where you can fill out all the information and then click 'confirm order'. If there's a cost associated with posting a job, you'll have to put in your credit card information or select how you're paying. Otherwise, it'll be taken right to the job being posted confirmation message.

How do I access member benefits in the member portal?

When would I use this? Use this when you need to access member benefits in the member portal. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar, look for the benefits tab, click on 'benefits'. Now you can see all of the different benefits. To learn more about a benefit or access a particular benefit you can simply click on that benefit and it will tell you more including how to access/take advantage of the offer/ member benefit.

How do I access forms in the member portal?

Before you begin: Sign in to the correct portal account. Available forms depend on their type, publication status, and access assigned by your organization.

Steps in Member365:

  1. For a published web form, survey, or voting form you can access, select Forms in the portal navigation.
  2. For contact demographic, membership, or directory profile information, open Account → My Profile and look under the relevant profile tab.
  3. If Forms is absent or the form is missing, ask your organization’s administrator whether the form has been published and access granted to you.

Expected result: Your assigned published form appears in its appropriate portal area.

Test before going live: An administrator can sign in with an authorized test account and verify the intended form is visible and opens.

What happens next? Submit the form as instructed by your organization; contact its administrator if access is still missing.

Directory and membership form differences

How do I view my Continuing Education Unit (CEU) Tracker?

If you click on the 'Continuing Education', or 'CEU', tab in your navigation bar, and click on 'CEU activities' in the drop-down, you'll be able to see your credits for a particular collection period. If you want to see a different collection period, click on the drop-down below 'viewing collection period', and you'll be able to select from the collection periods available there.

How do I download my Continuing Education Unit (CEU) tracker transcript?

When would I use this? Use this when you need a record of your continuing education credits or an individual certificate.

In the Member Portal, open CEU → CEU Activities and choose the collection period to review your recorded credits. In Certificates, open an individual certificate and use your browser’s print or save-as-PDF option. Those steps provide activity details and individual certificates; they do not establish a download for a combined official transcript. Ask your organization’s administrator how to obtain an official transcript if one is required.

How do I add a new activity to my continuing education unit tracker?

When would I use this? Use this when you need to add a new activity to my continuing education unit tracker. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

Most CEU credits are added to your tracker automatically. However, if you do need to manually add an activity, click on 'continuing education' or 'CEU' in the navigation bar, then click on 'CEU Activities'. Scroll down and you'll see a button that says 'add new activity'. If you don't see that button, that may not be an option for you, in which case contact your association administrator.

How do I access tests and quizzes that count towards my continuing education, but are not within a (LMS) course? How do I redo a quiz or test?

Click on 'continuing education' or 'CEU' in the drop down menu and you'll be able to see all your tests and quizzes. To see it in more detail, click on the name of the test. If you're able to redo the test, click the 'start test' or 'start quiz now' button.

How do I access the store through the Member Portal?

In the navigation bar, you'll see a shopping cart icon labeled 'Store'. Click on that and it will bring you to the store within the member portal. If you're logged in as a member, everything will be displayed with member pricing.

How do I access courses in the Member Portal?

Sign in to the Member Portal, open the Store, choose the course product, and complete checkout. After purchase, check your course access in the portal’s training area. In the navigation bar at the top of the screen, just below the association logo, click on that. You'll see a tab labeled 'videos' or 'video library'. Click on that which will bring you to the 'video library' page. If you can't find a video you're expecting to find, sometimes it is placed in a specific workspace, or it may have not been uploaded yet, so contact your administrator to ask where the video has been uploaded.

How do I update my personal information in the Member Portal?

In the navigation bar below your association's logo, you'll see a button labeled 'account' or 'my account'. Click on that, and in the drop-down menu, select 'my profile'. That will bring you to your profile page where you can edit your first name, last name, date of birth, email address, alternate email (if you want to put one), organization, job title, and upload a photograph that can be used in the directory, if you give permission to do so.

In the navigation bar, find 'Account' or 'My Account', click on it, and in the dropdown, click on 'My Profile', then in the My Profile tab, beside 'Personal Info', click on 'Contact Info', and now you can choose whether your residential or business address is your 'preferred contact address', and update either or both of those addresses / contact information.

How do I update my organization information if we have a group membership?

In the navigation bar, click on 'my account' or just 'account', and click on 'my profile' in the drop down menu. In the 'my profile' tab, click on 'organization information', and now you can update your organization information. Click 'update my profile' to save the changes.

Organization Public Name: If your profile shows Staff Profile, open My Account → My Profile → Staff Profile to edit the public organization name displayed for your account, then save and check the result.

How do I update my password in the member portal?

When would I use this? Use this when you need to update my password in the member portal. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar, click on 'account' or 'my account'. Click on 'my profile' in the drop-down menu. On the 'my profile' tab, click on the 'password' sub-tab. Enter your current password, enter your new password, confirm your new password, and click 'update password'. Your password has now been changed.

How do I update my payment information, and why is that tab missing?

When would I use this? Use this when you have an automatic recurring billing (ARB) card to update or cannot find Payment Information in your profile.

Before you begin: Check whether your membership category offers ARB and whether you have an active recurring payment. One-time invoice payments do not create a saved card profile to edit.

Steps in Member365:

  1. Sign in to the Member Portal and open My Account → My Profile → Payment Information, if available.
  2. Choose Update Credit Card beside the saved card, enter the new details, and click Confirm.
  3. If the tab is absent because ARB is unavailable, enter the preferred card when paying your next invoice or renewal.

Expected result: An ARB card is updated when one exists; otherwise payment details are entered at checkout.

Test before going live: Reopen the profile to confirm the saved card state, or check the next payment page before submitting a charge.

What happens next? Contact your administrator if you expect ARB but cannot find its payment option.

View or Update a Credit Card Profile

How do I opt into or out of Automated Recurring Billing (ARB) for my membership?

When would I use this? Use this when you want to enroll in or leave automated recurring billing, including after a card failure or a manual renewal.

Before you begin: Your membership category must allow ARB and you need an eligible payment card to enroll.

Steps in Member365:

  1. Sign in to the Member Portal and open My Account → Membership.
  2. Find the relevant membership and choose Subscribe to Automated Recurring Billing if available.
  3. Enter or confirm the requested payment details to finish enrolling.
  4. If already enrolled, use Change this Setting to review or remove the subscription.

Expected result: The membership page shows your current ARB status and, when enrolled, the next automatic billing date.

Test before going live: Reopen the Membership page after enrollment and confirm the status before the next renewal date.

What happens next? If your card fails and you pay manually, check whether ARB is still active; you can subscribe again from the same page.

It'll tell you your status, when the renewal date is or was, and when you started that membership.

How do I view my Membership Certificate or Membership Badge?

When would I use this? Use this when you need to view my Membership Certificate or Membership Badge. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar, locate 'Account' or 'My Account'. Click on it. In the dropdown menu, click on 'Membership'. That will bring you to your membership page. If there is a badge or certificate associated with your membership, you'll see it labelled with a plus print button below it. Click on the name of the badge to see it.

On the membership page, locate the membership for which you would like to download the badge. Click the 'Print' button. And now you can download and/or print your badge or certificate.

In the navigation bar, locate 'My Account' or 'Account' on the right side, click on it, and in the drop down menu, click 'My Certificates'. You will then see all of your certificates, or if you don't see them all, you may have some sub-tabs, such as for 'continuing education' and 'learning management'. Click on those sub-tabs, and you'll see the certificate you're looking for - click on it to download it. If you don't see your certificate here, and you expect it to be there, contact your administrator.

How do I find my invoices or receipts in the member portal?

In the navigation bar, locate My Account or Account on the right side, click on it, and in the drop down menu, click on Invoices and Receipts. The default page is to show you all of your invoices and receipts. If you want to see a particular invoice or receipt, scroll down and find that invoice and then click on it. If you want to narrow down your search, you can find just your 'donation' receipts, your 'automated recurring billing', or if you are in an appropriate position within an organization, you can see the 'organization' receipts here as well.

How do I see receipts for my member organization?

Click on 'account' in the navigation bar. From the drop-down select 'invoices and receipts'. Locate the 'organization purchases' sub-tab. And now you can see all of your organization receipts.

How do I pay an outstanding invoice in the member portal?

When would I use this? Use this when you have an unpaid invoice, including one originally issued for check or another offline payment, and want to pay online.

Before you begin: Credit-card payment must be available for that invoice.

Steps in Member365:

  1. Sign in to the Member Portal and open My Account → Invoices and Receipts.
  2. Find the unpaid invoice and click Pay Now.
  3. Choose Credit Card from the payment options offered at checkout.
  4. Complete the payment and review the resulting receipt.

Expected result: The invoice is paid by the method selected at checkout, even if the original invoice was issued for an offline method.

Test before going live: Use a test invoice to check the available payment methods before directing members to the flow.

What happens next? Verify the invoice status and keep the receipt for your records.

How to Create an Invoice

How do I manage the members in my group membership?

When would I use this? Use this when you need to manage the members in my group membership. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar on the right side, you will see 'my account' or 'account'. Click on that, which will bring up a drop-down menu and you'll see 'employee accounts'. Click on that. Now you'll see all of the employees, or all of the members in your group membership.

How do I remove an employee/member from my group membership?

When would I use this? Use this when you need to remove an employee/member from my group membership. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar on the right side, you will see 'my account' or 'account'. Click on that, which will bring up a drop-down menu and you'll see 'employee accounts'. Click on that. Now you'll see all of the employees, or all of the members in your group membership. The left most column contains a trashcan beside each contact. To remove a contact, click the trash icon corresponding to that contact and confirm your wish to delete them.

How do I add a member to my group membership through the member portal?

When would I use this? Use this when a primary contact needs to add an employee to an existing group membership.

Before you begin: The group's membership category must permit primary contacts to invite employee accounts. Quick Enroll is for an individual membership and can change who is treated as a group's primary contact.

Steps in Member365:

  1. In the Member Portal open My Account → Employee Accounts.
  2. Select the group membership.
  3. Choose Send Invite when the invitee should complete the contact application form themselves. Create Account lets the primary contact enter the person's details immediately and does not require the invitee to complete that form.
  4. Review the new employee account and its organization link before finishing.

Expected result: The employee is added under the existing group membership without replacing another person's contact record.

Test before going live: Add a test employee and confirm the primary contact remains correct and the employee appears in the group.

What happens next? Remove a departing employee from Employee Accounts before inviting a replacement.

How Primary Account holders can add members to their Group Membership

How do I change the primary contact, secondary contact, billing contact, membership manager, or other main role in my group membership?

When would I use this? Use this when you need to change the primary contact, secondary contact, billing contact, membership manager, or other main role in my group membership. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar, locate 'My Account' or 'Account', click on it, and in the drop-down menu, click on 'Role Manager'. If you have multiple group memberships, select which one you would like to manage from the drop-down menu. Now, you can add a contact from the role by clicking the 'Add Contact Role' button, or edit any of the roles by clicking 'Edit Roles' beside the name of the person for which you want to edit the roles.

How do I edit my directory listing in the Member Portal?

When would I use this? Use this when you need to edit my directory listing in the Member Portal. For example, a member may need this answer to complete a common self-service task without waiting for staff assistance.

In the navigation bar, locate 'My Account' or 'Account' on the right side - click on it. In the drop-down menu, click on 'My Directory Listing'. You'll have tabs for any of the directories in which you are listed. Click on the tab for the listing you would like to edit. Scroll down to the bottom of the page and click 'Edit Directory Listing'.

From here you will be able to edit the listing as is permissible by your administrators. For any category that you're able to edit, there will be a little pen and paper icon beside that information, click on that, and then edit the information as required. 

If you have permissions to add or remove fields from your directory listing, in the two columns on the right side, member portal directory and public directory, you'll see checkboxes. If you want your information in that directory, make sure it checked off. If you don't want it included, make sure it is not. When you're done updating your directory listing, click 'update directory'.

 

 

 

How do I view my Member Portal and forms in French?

When would I use this? Use this when a contact's preferred language is French but a newly opened portal page still appears in English.

Before you begin: The portal language choice and contact language preference can behave separately; French form text must have been entered by administrators.

Steps in Member365:

  1. In the Member Portal, use the language toggle at the top of the page to select French.
  2. Open the form again and check its language.
  3. If an external form link still opens English, ask the administrator for the French version of that form's public link.
  4. Confirm the contact's language preference for emails and assigned forms.

Expected result: The portal displays its French view, and a translated form shows its French questions when opened in French.

Test before going live: Open the form in a signed-out browser using the intended French link and check every translated question.

What happens next? If a form has no French text, its administrator must add the translation.

How to Create a Direct Link to the French Version of a Form

When would I use this? Use this when the primary contact wants to update the organization logo shown in their member profile.

Before you begin: Sign in as the organization’s primary contact and have the correct logo image ready. This differs from the administrator logo used on invoices and system emails.

Steps in Member365:

  1. Sign in to the Member Portal.
  2. Open My Account → My Profile → Organization Information → Logo.
  3. Upload the image and save the profile change.

Expected result: The organization’s profile shows its updated logo.

Test before going live: Reopen the profile and check the logo from the primary contact’s account.

What happens next? If the Logo field is unavailable, have an administrator review the contact’s role and profile permissions.

Access and Edit a Member Profile

Which email and password should I use after my address is changed?

When would I use this? Use this after an administrator updates the primary email address on a contact record.

Steps in Member365:

  1. Sign in to the Member Portal using the new primary email address as the username.
  2. Continue using the existing password.
  3. If sign-in fails, ask an administrator to confirm the primary email and reset the password if needed.

Expected result: The updated primary email becomes the portal username; changing the email does not by itself require a new password.

Where do I find a course token after buying it in the Store?

Steps in Member365:

  1. Sign in to the Member Portal using the purchaser's account.
  2. Open My Account → Product Tokens.
  3. Select the product name and redeem its token to access the course.

Expected result: The purchased product token opens the linked learning content.

What happens next? If the token or course is missing, ask the organization administrator to check the Store product's course assignment and the purchaser's portal access.

Why do my event search filters reset when I switch from Calendar to List view?

Switching between Calendar and List view resets the event filters. Choose the view first, then apply your category or other search filters.

Steps in Member365:

  1. Open the events area of your Member Portal.
  2. Select Calendar or List view before setting the filters.
  3. Apply the event category and other filters, then review the results in that view.

Expected result: The selected view shows events that match the filters you applied after changing views.

Where can I see the notes I entered on my event ticket?

When would I use this? Use this when you need to check information you provided while registering for an event, such as a ticket note or meal selection.

  1. Sign in to the Member Portal and open My Events.
  2. Find the registration and select Ticket Options for the relevant ticket.
  3. Review the information shown in the ticket details. Close the view without saving if you only wanted to read it.

Expected result: The ticket details show the notes recorded for that ticket.

Test before going live: If the option is absent or the notes are incorrect, ask your event administrator to check the registration rather than making an unintended change.
