This article will guide you through creating a Member Portal job posting manually, as an administrator.

  1. Log in to your Member365 Administrator Dashboard.
  2. On the navigation bar, hover over ' Modules ', then ' Jobs ' from the dropdown, and click ‘ Post New Job ‘ from the subsequent dropdown.
  3. Select the person who will act as the point of contact for this listing by entering their name in the ‘ Search Contacts ‘ bar, and then clicking their name when it appears.
  4. Selecting a contact will cause the rest of the form to appear. In the first part of the form, enter the basic details that will be displayed to the member: the job title, company name, job description, location, and financial details, as well as the option to add a logo or other image to this posting.
  5. Scroll down to the second section to select how interested users can reply to the posting. Selecting ‘ Email ‘ or ‘ Direct to Website ‘ will cause a new text field to appear, and there you can specify an email address or website that will be linked to in the application. If you select ‘ None ‘, be sure to specify in the ' Job Description ' how members can apply.
  6. When you are done, click ‘ Save ‘.

How do I edit a Job Posting Through the Member Portal?

How do I access and Modify Job Board Email Templates?

When would I use this? Use this when you need to access and Modify Job Board Email Templates. For example, a job-board administrator may need this answer to publish, review, and manage job opportunities.

This article will guide you through accessing and modifying the templates used for sending emails to users who have submitted postings to the job board or who have attempted to modify those postings.

  1. Log in to your Member365 Administrator Dashboard.
  2. On the navigation bar, hover over ' Modules ', then ' Jobs ' from the dropdown, and click ‘ Settings ‘ from the subsequent dropdown.
  3. In the list of configuration options, find ‘Email Templates’ and click the corresponding ‘ Manage ‘ link.
  4. You will find yourself presented with a list of the templates used by the Job Board:
  5. Click on the name of a template to view its text in a new window that features a rich text editor.
  6. Make any desired modifications to the email template in the rich text editor, paying careful attention to avoid deleting the brackets at either end of any tags like {JOB_TITLE} or {COMPANY_NAME} — which will be automatically replaced with the relevant job title or company name as long as their formatting remains intact — and click ‘ Save ‘ in the pop-out window once you are finished.

Why wasn’t an invoice created when an administrator posted a job for a contact?

When would I use this? Use this when you create a job listing for someone in the administrator interface and need to bill them.

Before you begin: Confirm the posting contact, price, and whether an invoice already exists. Administrator-created postings do not automatically create an invoice.

Steps in Member365:

  1. From the Administrator Dashboard, open Modules → Jobs → Post New Job and select the posting contact.
  2. Complete and save the listing. Check the contact’s invoices before billing.
  3. Open Financial → Create Invoice, select that contact, enter the job-posting description, units, fee, tax, and account, then review the terms.
  4. Save the invoice as appropriate and send it to the contact when the amount is correct.

Expected result: The contact has a job posting and a separate invoice for the agreed charge.

Test before going live: Check the draft invoice, contact, fee, and posting before emailing it.

What happens next? Track payment on the invoice. If a member’s own posting skips an expected payment screen, contact Support with the steps and error shown.

Can a member archive a job posting before it expires?

When would I use this? Use this when a vacancy is filled before the posting’s scheduled end date.

Before you begin: The member can edit their posting, but an administrator must archive it for them.

Steps in Member365:

  1. As an administrator, open Modules → Jobs → Manage Jobs.
  2. Find the correct posting by title or keyword.
  3. Click the trash-bin icon beside that posting.
  4. In Confirm Post Archiving, click Confirm.

Expected result: The posting moves to the Archived tab and is removed from active listings.

Test before going live: Verify the intended posting in the archived list and check the member-facing job board.

What happens next? If the vacancy reopens, restore it from the Archived tab.

Archive a Job Posting

How can an administrator remove a job posting before it expires?

When would I use this? Use this when a filled or withdrawn job should disappear from the active Job Board before its deadline.

Before you begin: Identify the posting and confirm it should be archived; the archive action can be reversed.

Steps in Member365:

  1. From the Administrator Dashboard, open Modules → Jobs → Manage Jobs.
  2. Find the post using Enter Keywords or the jobs list.
  3. Click the trash icon beside the active posting, then click Confirm under Confirm Post Archiving.

Expected result: The posting moves to the Archived tab and is hidden from the active Job Board.

Test before going live: Confirm the intended post is archived and no longer appears in the member view.

What happens next? To restore it, open Archived, select the return icon, and confirm.

Archive a Job Posting as an Administrator

Why is the Job Board missing from my Member Portal menu?

When would I use this? Use this when the Job Board is active but an administrator or contact cannot see it in the Member Portal.

Menu visibility depends on the signed-in contact’s membership and access rights. An administrator account without a membership can see a different portal menu from a member account.

Steps in Member365:

  1. Sign in with a contact that has the membership category intended to access the Job Board and check the portal menu.
  2. If that contact can see the Job Board, review the missing user’s membership status and non-member access settings.
  3. Have an authorized administrator correct the contact’s membership or portal access where appropriate, then sign in again to verify the menu.

Expected result: The Job Board appears for users whose membership and portal access permit it.

What happens next? Test both member and non-member accounts before making broader access changes.

Can a non-member submit a job posting?

When would I use this? Use this when your organization wants people without a membership to submit jobs.

Steps in Member365:

  1. Open Modules → Jobs → Settings → Job Posting Management.
  2. Enable Non-member Contact Portal Account if non-member contacts should create a portal account to post.
  3. For a non-member staff contact who should post from the Member Portal, give the contact Member Portal Access and the administrative Job Board permission in their contact record’s Permissions area, then test with that contact.
  4. Alternatively, share the public job-submission link for your own site, and review approval and fee settings.

Expected result: An eligible non-member can submit a job using the route you enabled; approval settings determine when it appears.

Can I remove the region, category, type, or salary fields from the job posting form?

When would I use this? Use this when your organization does not need some of the standard job posting filters.

Those standard job posting fields are built into the Job Board form and cannot be removed through its settings. Review the form with a test posting and tell submitters which fields your organization uses. Contact Support if a label or workflow needs review.

Can members automatically receive an email when a new job is posted?

When would I use this? Use this when members should learn about new Job Board posts without checking the board.

The Job Board can send posting notifications to configured administrators, but it does not automatically notify all members when a new job appears. For member announcements, use an Email Campaign to your intended audience after a post is approved.

Where can I add instructions for people submitting job postings?

When would I use this? Use this when applicants need guidance about how to complete a standard Job Board field, such as salary range.

The standard field itself does not provide a configurable note above it. You can put general directions in the Job Post Instruction Message popup under Job Board → Settings, or include text in the job description guidance. The Salary Range field may accept letters as well as numbers; a message does not enforce numeric-only entries.

Steps in Member365:

  1. Open Job Board → Settings and edit the Job Post Instruction Message.
  2. State the information submitters must enter, then save the message.
  3. Open the member-facing posting flow and verify the message is visible before collecting live postings.

Expected result: Submitters see the instruction, while administrators still review entries for compliance with their own posting requirements.

Can existing job postings be imported into the Job Board?

When would I use this? Use this when migrating postings from another service.

Before you begin: Support confirmed that job posts cannot be imported into the Job Board.

Steps in Member365:

  1. Plan to create the postings in Member365 through the administrator interface or the permitted Member Portal flow.
  2. Review each posting’s dates, visibility, and fee settings after entry.

Expected result: Postings are created individually rather than through a job-post import.

Test before going live: Check one sample posting in the public or portal job view.

Where do I configure the Job Board's job type choices?

When would I use this? Use this when a Job Type option such as contract or permanent needs changing.

Before you begin: Member365 calls these choices Position Statuses.

Steps in Member365:

  1. Open Modules → Jobs → Settings.
  2. Beside Position Statuses, select Manage, then add or remove the needed status.
  3. Check the job posting form and filters.

Expected result: Job seekers and posters see the configured position statuses.

Test before going live: Verify a test posting and any existing labels before removing an option.

Why are payment reminders still arriving for an archived test job posting?

When would I use this? Use this when a job posting was archived but its creator still receives invoice reminders.

Before you begin: Verify the correct posting and invoice; voiding changes the financial record.

Direct answer: Archiving the posting does not automatically void an unpaid invoice created for it. If payment is not owed, review and void the invoice through Financial Management.

Steps in Member365:

  1. Find the invoice generated for the job posting.
  2. If your organization confirms no payment is due, open Financial → Manage Invoices and void the appropriate unpaid invoice.
  3. Check the invoice status and that further reminders stop.

Expected result: The unpaid test invoice no longer drives payment reminders after it is properly voided.

Test before going live: Check one test or affected invoice and its reminder status.

Why is the Post Job option missing from the Member Portal?

When would I use this? Use this when the Job Board page opens but an eligible contact cannot submit a job posting.

Check the Job Board's posting-access settings. If the contact's membership category is not allowed to post, the Post Job option may not appear even though the board is visible.

Steps in Member365:

  1. Open the Job Board posting-access configuration as an administrator.
  2. Review the membership categories and non-member access options permitted to create posts.
  3. Enable the intended category, save, and sign in as a test contact in that category.

Expected result: A contact in a permitted category can see the posting option; others retain the configured restrictions.

Restrict posting by membership category: In Modules → Jobs → Settings → Financial Management → Manage, set the fee structure by member category. Enable posting only for the categories you intend to allow, enter a fee for each enabled category if applicable, and save. An unselected category cannot post under this setup. Review the separate Available to non-members option so it matches your policy, then test with a member in an allowed category and one in a restricted category. Configure Job Board Posting Fees.
