Purpose: To explain how to issue a refund in Member365 and ensure it is correctly reflected in QuickBooks Online

Overview
When you issue a refund in Member365, it automatically syncs with QuickBooks Online (QBO). The system creates a refund transaction on both platforms and updates the invoice status to Refunded.
Refunds can be partial or full, and can include taxes if they were applied to the original purchase.
Step 1 — Locate the Invoice
- In Member365, go to Financial → Manage Invoices.
- Find the invoice for the member you’re refunding.
- Click on the Invoice Number to open the invoice details.
Step 2 — Add a Refund
- Scroll down and click Add Refund.
- Enter a description (e.g., “Refund 1 unit – full amount”).
- Confirm the amount and any tax that will be refunded.
- Select the Chart of Account for the refund.
- You can use your general refund account
- Or create a specific account in QuickBooks for Membership Refunds
Step 3 — Process the Refund
- Review the refund details.
- Scroll to the bottom and click Process Refund.
- Choose one of the following:
- Process Refund Only – No email notification sent
- Process Refund & Send Email – Sends a confirmation email to the member
Before the email is sent, Member365 will display it for your review and approval.After processing, the invoice status in Member365 will update to Refunded.
Step 4 — Confirm the Refund in QuickBooks
- Log in to QuickBooks Online.
- Go to Sales → Customers.
- Search for the member.
- Open the customer record.
You will see:
- The original invoice.
- The payment that was received.
- A refund transaction applied against the same amount.
Refunds are processed automatically, but may take up to five minutes to appear in QuickBooks as the system queues transactions for optimal performance.
How Refunds Work Behind the Scenes
When you process a refund:
- Member365 reverses the original transaction.
- The linked QuickBooks payment is updated to reflect the refund.
- The refund amount is posted to the Refund Account you mapped during setup.
- If taxes were included, the appropriate tax amount is also reversed.

Always process refunds in Member365.
This ensures both systems remain in sync and prevents duplicate entries. -
Allow up to five minutes for the refund to appear in QuickBooks.
Refunds are queued and processed in the background for better performance. -
Use a dedicated refund account if possible.
It helps when running financial reports or reconciling refund activity.
