How to share Form Analytics with your Contacts

You can share Form Response Data with Contacts! If the Analytics of a Form are shared with a Contact, they can see its responses upon accessing their Member Portal.

Each Form and Survey is configured individually. You can choose to share its responses with any subset of Contacts, or with nobody. Continue reading to learn more!

Granting Access to Form Analytics

The access to Form Analytics is granted when you’re configuring the Form itself. Consult this Knowledge Base article if you do not know how to create a Form.

Locate and Edit the Form

1. From the Member365 Administrator Dashboard, hover ‘Modules’ at the top of the page. Hover your mouse over ‘Forms’ on the drop-down menu that appears. Click ‘Manage’ on the next drop-down menu.

 

2. Locate the Form whose Responses you wish to share, using the ‘Search Forms’ button if necessary, then click its name.

3. Ensure that ‘Share Form Submissions?’ is set ON to green. This toggle is in the ‘Configuration’ section under the ‘Setup’ tab for your Form.

 

4. Click the ‘Share Form Submissions’ tab at the top of the page. Use the four sub-tabs to customize access as necessary.

Members – Grant access based on Membership Category. Check off which Membership Categories will be able to view this Form’s Responses.

Organization Categories – Grant access based on Organization Category. Check off which Organization Categories will be able to view this Form’s Responses.

Contact Demographics – Grant access based on Contact Demographics. Check off which Contact Demographics will be able to view this Form’s Responses.

Contacts – Grant access to to individual contacts. Search for specific Contacts who you want to share the Form Responses with.

Use those four sub-tabs to grant access to a subset of Contacts that’s as specific as you need!

 

Choose which responses are shown

You can specify further by deciding which question data your Contacts will have access to.

Even if you assign access to a Contact, you can show or hide responses for each individual question.

5. Click back to the ‘Setup’ tab or the 'Questions and Answers' tab, then click ‘Launch Form Question Editor’ at the bottom of the page.

 

6. For each question, decide whether or not you want its responses visible to the group you set in the previous sub-header. Click ‘Setup’ on the bottom right of the question.

 

7. Click ‘Properties’ on the window that appears.

 

8. Check ‘Include in Member Portal Form Analytics’ if you want the question included, or ensure it’s blank to exclude the question from member-facing analytics. To confirm, click the ‘Update’ button, then the ‘Save Question’ button.

 

9. Repeat Step 6 through Step 8 for every question, to choose whether or not its responses will display in the Analytics on the Member Portal.

When satisfied, remember to click ‘Save’ at the top of the page to save your Form Questions and return to the main settings page.

Your changes will not take effect until you then click ‘Publish’ at the bottom of the Form Setup page.

 

Where do Contacts see Form Responses?

Upon logging into their Member Portal, a Contact can click through ‘Forms’ -> ‘Analytics’ from the bar on the top of the page.

 

The Contact will see a list of all Forms whose Analytics they have been granted access to.

 

When they click on the form they want to see the analytics for, data for each question you opted to share in Step 6 through Step 8 will display.

 

Under the ‘Details’ tab, there is a report that lists all Form Respondents and what they answered for each question whose data you chose to share. There is an option to export this data to Excel.

Even if the Form has several questions, Contacts will only see data for those questions whose Analytics you have opted to share in the Member Portal.

For any question whose answers should be private from Contacts, ensure that you left its box unchecked in Step 8.
