How to Preview and Test a Survey or Vote

This article will guide you through previewing a survey or vote by taking it yourself. It is important to test out the survey/vote to make sure they are accurate, and you understand the users' experience. 

This article is under the assumption that you already created a survey or vote. If not, click on the articles below to learn how to:

Accessing Surveys and Votes

1. Log in to the Member365 Administrator Dashboard. From the bar at the top of the dashboard, click ‘Modules. ‘

2. In the menu that appears, click ‘Surveys & Votes‘.

3. Click on the name of the survey/vote.

4. Click the ‘Access‘ tab.

5. Ensure that no one has access to the survey by opening the 'Members,' 'Organization Categories,' and 'Contact Demographics' and ensuring that NO memberships, organization, or contact demographics are checked off.

6.Click the ‘Contacts‘ sub-tab.

7. Search and click on your name on the Search for a contact field.

8. Click the ‘Alerts & Reminders‘ tab.

9. Click on the 'Alerts' tab.

10. Toggle the ‘Add alert to portal dashboard‘ and 'Send an invitation to contacts' option to green/on. Please note that you can choose either of the two options (or both) on how your survey/vote can be accessed.

11.  Update the content of the email or portal message as needed.

12.Click on the ‘Publish‘ button.

IMPORTANT NOTE: If the invite is enabled, it will send the survey/vote based on the open date. If there is no open date, it will send it immediately. It may take up to 10 minutes to reach the email inbox. If it does not appear in your inbox within 10 minutes, please check your spam folder.

How to View the Survey in Your Member Portal

There are two ways to preview the survey within the member portal. 

 

Option 1: Alert Badge

This option only appears if you have enabled the alert badge within the survey configurations. 

 

1. In the Admin Dashboard top menu bar, click on 'Member Portal.'

2. In the Member Portal, browse the alert badges on the right side of the screen by clicking the arrows on either side. Once you have found the alert corresponding to your new survey, click ‘Click here to take it now.

Option 2: Accessing Through Forms

1. In the Admin Dashboard top menu bar, click on 'Member Portal.'

2. Another way to access the survey/vote is by clicking on 'Form" on the Member Portal.

3. Click on the name of the survey/vote and take the survey/vote.

At this point, your experience of the survey will be the same as what your members experience.

 

How to Sent the Survey

IMPORTANT NOTE: After the test/vote has been completed, there are two ways on how to make the survey/vote available for your target audience to access:

 

Option 1: Duplicate the Survey

1. Go to survey/vote and click on the survey/vote name ( see step 3) then click on the 'Duplicate' icon.

2. Assign a name on the duplicated survey.

3. Click on the 'Confirm' button.

4. Ensure that the 'Access' tab is updated ( see step 5) to make sure the right contacts who need to take and access the survey/vote are checked off. Review the Open and Close dates and click on 'Publish".

 

Option 2: Sent the Survey Manually

1.  Ensure that the 'Access' tab is updated ( see step 5) to make sure the right contacts who need to take and access the survey/vote are checked off. Review the Open and Close dates and click on 'Publish". 

2. Go to survey/vote and click on the survey/vote name ( see step 3) then click on the 'Envelope' icon at the far right to enable the system to send the survey/vote to those who have not responded ( in this case, those that you recently added).

3. A note will show how many contacts will receive the survey/vote.

4. Click on the 'Send" button.
