Limiting event tickets is an important part of event management. Whether it’s simply ensuring you don’t fill your venue over-capacity, or as part of your strategy to capture value from your events by offering exclusive ticket types, knowing how to limit tickets is an important skill to have when using Member365! Here’s how you do it:
Navigate to Your Event Settings
1. From your administrator dashboard, hover over ‘Events’ in the top toolbar. In the dropdown that follows, click ‘Manage Events‘
2. Using the search bar, or by selecting from the list, click the event you would like to limit tickets for.

3. From the list of available tabs, click ‘Tickets‘.
4. From here you can limit existing tickets, or create a limited number of new ones.
- To edit an existing ticket, click the edit icon to the right of the ticket name.
- To create a new ticket, click ‘+Add‘.
6. In the ticket settings screen, enable ‘Limit Tickets’ and input the number of tickets you would like to offer in the ‘Tickets Available’ field.
7. Click the green ‘+Add‘ button at the bottom of the dialogue.

How should I set ticket availability when registrations also exist in another system?
Direct answer: Member365 can count only the registrations recorded in Member365. During a migration, account for registrations that remain in the previous system when you set Tickets Available, or import those registrants into the applicable Member365 ticket.
Steps in Member365:
- Confirm the event’s total capacity and the number of registrations that remain only in the previous system.
- Subtract the outside-system registrations from the total capacity. The result is the maximum number of registrations to offer through Member365 while those records remain outside the platform.
- Open Events → Manage Events, select the event, and open Tickets.
- Edit the applicable ticket, enable Limit Tickets, and enter the calculated number in Tickets Available.
- Open Events → Reports, select the event, and use Registrations or Export to Excel to monitor the registrations recorded in Member365.
- Recalculate the limit whenever registrations are added or removed in the previous system. Alternatively, import the previous registrations into the applicable Member365 ticket so the records can be reconciled in one place.
Expected result: Registrations in Member365 plus registrations still held in the previous system do not exceed the event’s overall capacity.
Test before going live: Compare both systems and the public registration page before reopening or advertising the event. If multiple ticket types share one venue capacity, verify how that capacity should be divided before changing individual ticket limits.
