How to Import Registrants to an Event Ticket and/or Workshop

 

This article will detail the steps required to import a list of Registrants to an Event ticket type or event workshop.

 

Importing registrants for an event many happy when using third party system such as Zoom or other webinar tools. Or if you want to import a group of attendees that registered in a third party system.

Any contacts that are imported cannot be deleted from the event registration list. Please ensure you only import people that you want to be found in the registration list. Please note - Contacts must be in the database to be imported into the event

 

If you need to charge the Contact and the registration window is still open, please feel free to encourage them to register themselves. Alternatively, register on their behalf through the Impersonate tool.

 

If the above suggestion is impossible but you still need to charge your registrant, create a manual invoice. Please note that your Manual Invoice will not link to the imported registration, and it will not update your Event’s Financial Reporting.

 

 

 

Accessing the Event Import Tool

1. From the admin dashboard,  go to the main menu at the top of the screen and hover over the ‘Events.'

2. On the dropdown that follows, click ‘Reports.’

2. Locate the Event to which you want to import registrants, using the search bar if necessary, then click the name of the event you wish to import registrants.

3. Click the ‘Registration Import‘ tab.

 

How to Import Registrants

1. Click the text ‘Get started by downloading the Import Template‘ to initiate a download of the Excel Template.

 

2. Complete the import template by adding the email address and/or member number of the contacts that you want to import to a ticket or workshop and save it as an Excel File.

You will need to repeat this process for each ticket and workshop.

For example, if your event had many different Ticket Types and two Workshops, you might need multiple separate Excel Files: one for each registrant who received only the first ticket, one for each registrant who received only the second ticket, and one for each registrant who received both tickets.

 

3. Back in Member365, click the ‘Choose File’ button in the Upload File section. Select the file and click open.

 

 

4. Next, in the Select Tickets and Workshops section, check for the correct ticket type and workshop for the importing registrants.

5. When you are happy with the selected tickets and workshops, check 'Import Registration.' 

Repeat these steps for each of your Excel Files, changing the Ticket Type and Workshops checkboxes as necessary for each import.
