This is a guide for using the "QRbot" iOS app to scan the QR codes on event name badges, export the .csv file, and import it to your event attendance list so you don't need to manually mark registrants as attended, nor manually curate the attendance list at the event. While other apps may also work, and there are dedicated QR code scanners that can facilitate this process, they will likely have slightly different processes. This article is intended to provide you step-by-step guidance on one method that has been tried and tested. To learn about the process more generically, please read this article.
Setting Up the Name Badges
Please read this article if you do not know how to create a name badge.
Downloading the App
On your iOS device, in the App Store, search for "QRbot" (QRbot App)
At the Event
-
Go to the 'Scan' tab on the app
Scan the QR codes on name tags that you wish to mark as attended. For general event check-in, do this as you give the name badge to the registrant. For workshops, do this as they enter the workshop. ***You will need different spreadsheets for the general event and specific workshops. This means you'll either need different devices or you'll need to export and delete the list between general check-in and workshop check-in.***
Export the Attendance List
-
Once everyone has checked in, click the 'History' tab on the app and you'll see a list of everyone who's QR code you scanned.
-
Click the 'Export' button
-
Click 'CSV'
-
Click 'Save to Files'
-
Determine where you want to save the file and/or rename it, and click 'Save'
- Send an email to yourself with this file attached
- On your computer, open the email and open the attachment in Excel.
-
In Excel, rename the sheet "Raw" by double-clicking the name of the tab and typing the new name in (you can use whatever name you want; you will just need to substitute "Raw" for that name in the formula in Step 12, below).
-
Create another sheet by clicking the '+'
-
In A1 of the new sheet, write (or copy/paste): Email address
-
In A2, write (or copy/paste): =TRIM(RIGHT(Raw!D2, LEN(Raw!D2) - FIND(":", Raw!D2)))
As soon as you paste it, the email from A2 in "Raw" will be displayed, but you'll be able to see the formula in the 'formula' (black) box.
-
Click on the little green square in the corner of A2 and drag it down as many rows as there are in your original sheet (now called "Raw")
-
Create a new Blank Workbook (in Excel) and copy Column A from your current sheet (Sheet1 in the example above) into it by clicking on the 'A' to highlight the whole column. Then right clicking 'Copy'. And then navigating to your new Workbook, right-clicking in A1 and clicking 'Paste'
-
Save that file as an .xls or xlsx file type with a name and in a location that's easy to remember.
- Import the file to using the attendance import, as outlined in this article.
Remember
You will need a separate import the general check-in/overall event attendance and for EACH workshop. Plan (and scan) accordingly.
Important Note
We are not affiliated with the QRbot app, use it with your own discretion!
Also, with a dedicated scanner or paid version of the app, you can likely set it up so the scanning produces the file exactly how you need it as you scan and you won't need to do this whole process - just scan and import, but we want to provide a step-by-step guide to do this for free.
Congratulations! You now know how to use QR codes on name badges, paired with QRbot on iOS to facilitate your process of marking event (and workshop) attendees as "Attended"
