How to Set Up Recognized Domains

This is a "how to" article. If you want to learn more about what Recognized Domains are and why, and when you might want to use them, please go to the article titled "What are Recognized Domains?"  

Important

Recognized Domains only affect actions occurring after the feature has been set up. It will not go through the system an apply the rule(s) retroactively.

1. From the Dashboard, hover over "Membership" and select "Category Setup" from the dropdown.

2. Select the category for which you want to turn on Recognized Domains.

Note

This MUST be a Group Membership category. You can tell if a group category by, if when you click on it and scroll down to "Membership Type" the "Org./Group" box is selected (see image below)

3. On the left side of the screen, select the "Group Membership" tab. If you don't see this tab, you are not in a category that is set up as an "Org./Group" Membership.

4. Scroll down to the "Recognized Domains - ..." boxes at the bottom of the page.

5. In the "Recognized Domains - Primary Members" box, select "Yes" (making it blue) if you want the Primary Account holder's email to automatically get added as a recognized domain for their organization.

Important

This will only apply to NEW Primary Accounts. If you want current Primary Accounts' domains to be added to their "recognized domains," please submit a ticket (link) to the Customer Success team.

 

6. In the "Recognized Domains - Employee Accounts" box, select "Yes" if you want Employee Accounts to get created automatically when a domain is recognized.

6b. Selecting "Yes" in the last step will open up a dropdown menu of options from where an employee account can get created. If you check the box beside any of the options, when an individual enters their email with a recognized domain at that point (e.g., registering for an event or making a store purchase), a they will automatically be given membership status (rights, rates, and benefits) at that point.

Important

This will only apply to new actions taken by individuals. It will NOT automatically give contacts with recognized domains already in the system an Employee Account. However, whether or not the individual is already a contact in the system, the next time they take one of the selected actions, they will be granted an Employee Account at that time.

 

7. In the "Recognized Domains - Organization Linking" box, select "Yes" if you want individuals to be linked to the organization, but not given an employee account.

Note

This will only be applied to new contacts. The rule will not run retroactively on contacts already in the system

There are a few reasons you may want to link someone to an organization but not give them an Employee Account. For example, linking them the the organization allows you to find all contacts associated with that organization to target for an email campaign or granting them access to an organization-specific workspace - without giving them full membership access, rights, rates, benefits and/or other perks. Note: an individual who is a Related Contact but not an Employee Account holder will show up in the "Related Contacts" but not "Employee Accounts" section of the Organization Profile.

Important

If you don't want the individual to get an Employee Account, the toggle in Step 6 must have "No" highlighted blue. If you don't understand the different between being linked to an organization and having an Employee Account with that organization, please see the article titled "What are Related Contacts?"

 

Congratulations! You have set up Domain Recognition for your Group Membership.
